R&D gets a Benchtop workspace inside every client-accepted quote: the formula under test, raw-material readiness, and four required tests per sample, with no advancing until they pass. The website-to-Leads integration goes live on vitalpax.com, multiple vendor MOQs finally price correctly, and every uploaded file moves to independent cloud storage with scheduled backups.

Benchtop sampling moves into the CRM, the vitalpax.com quote form now feeds the live Sales Leads page, and two workflow refinements land.

New Feature - Staging

Benchtop Sampling Comes to the Quote

  • From Client Accepted -- Once a client accepts a quote, a Request New Sample button opens a dedicated Benchtop section, so R&D records sample work against the quote rather than tracking it separately.
  • One Active Sample -- Each quote request holds one active sample at a time; when a further sample is requested, the earlier one is retained so the full history of revisions stays on record.
  • Benchtop Queue -- A new Benchtop page under R&D lists every requested sample with its product, format, status, raw-material availability, and request date.

The six-step workflow tracker shows Sales, R&D, Sourcing, Pricing and Issued complete in green, each with a 1d badge, and Client Accepted active in navy. This quote is now in the Client Accepted stage', above a green 'Request New Sample' button underlined in red. The new Benchtop Samples page, reached from the R&D > Benchtop sidebar entry underlined in red and subtitled 'Samples requested from client-accepted quotes. Track raw-material availability, testing progress, and hand-offs to pricing and purchase order.' A table headed QUOTE #, PRODUCT, FORMAT, STATUS, RAW-MATS AVAILABILITY and REQUESTED shows a single row - QR-260720-001, Test Product, a New Sample Request status chip, and a requested date of Aug 18, 2026 - with 'Showing 1 of 1' above and a keyword search on the right.
New Feature - Staging

Formula, Readiness & Sample Stages

  • Formula Without Pricing -- The section presents the formula under test alongside the relevant lab settings, with vendor and pricing information withheld.
  • On-Hand Quantities -- Quantities held on hand are recorded directly against each ingredient in the Raw Materials Availability Review.
  • Readiness Gate -- Every raw material must be marked Ready before the sample can move into Sample in Process; the sample runs its own five-step tracker from New Sample Request through Purchase Order.
  • Benchtop Revisions -- Where results require adjustment, Create Benchtop Revision starts a new formula revision carried on the same quote version.

Four Required Tests Per Sample

  • The Test Plan -- Capsule Fill and Slug, Flowdex, Bulk Density, and Tap Density are recorded for every sample, each carrying its own status and result.
  • Clear Progress -- A progress bar counts completed tests, results are entered as Pass, Fail, Retest, or N/A, and a failed test is identified clearly.
  • Computed Densities -- Bulk and tap density are calculated automatically from the sample weight and volume as they are entered.
  • No Skipping Ahead -- A sample cannot advance to the following stage until the required tests are complete, so incomplete work is never carried forward.
The Required Test Plan on a Sample in Process benchtop, with the progress bar reading '1 / 4 Required Tests Completed' and an IN PROGRESS chip. Collapsible sections list Composition Preparation with formula composition notes, Capsule Fill & Slug Test 'Evaluates fill weight, capsule fit, and compressibility for encapsulation', and Flowdex Testing 'Measures how easily powder flows through standardized ring sizes' - showing a Status of Not Started, a smallest achievable flowability ring size of 12 mm, testing notes, and its RESULT dropdown open with Pass highlighted above Fail, Retest and N/A. The Bulk Density and Tap Density test panels on the same test plan. Bulk Density, described as 'Measures untapped powder density for packing and manufacturing reference', holds a Sample Weight of 21.0 g and Volume of 32.0 mL with an auto-computed Bulk Density of 0.6563 g/mL highlighted in green, plus status, result and testing-notes fields. Tap Density below, 'Measures powder volume change after tapping to assess packing behavior', holds 33.02 g and 11.0 mL with a computed Tap Density of 3.0018 g/mL, also in green. The Formula Under Test table and the '1 / 4 Required Tests Completed' progress bar sit above.

Website Quote Leads Live in Production

  • Was On Staging Last Week -- The Same Day Quote integration introduced on staging in the Aug 5-11 update is now running on the live site.
  • Straight Into Leads -- Submitting the form on vitalpax.com creates a Lead automatically on the Sales Leads page with Website recorded as its source, so enquiries reach the team without manual transfer or re-entry.
  • Everything Carried Across -- Contact details, requested services, target completion date, and each product as the customer described it are all captured on the lead.
  • Products Stay Separate -- Where several products are submitted, each is retained as its own line item in the order given, with the original wording preserved.
The live Leads page at crm.vitalpax.com/leads, subtitled '1 new - 1 unassigned - WeCare & website inquiries land here', with the production URL visible in the browser address bar. Tabs read Inbox (1), New (1), Contacted, Qualified, In Pipeline, Unqualified and All (1), above a lead search and All sources / All owners filters. The table holds one lead - Inventory Ready, contact Kathy Bona, sourcing@inventoryready.com - with a Website source chip, interest reading 'See additional information', a Warm priority flag, a New status chip, an Unassigned owner, received Today, and a blue 'Move to Pipeline' button at the row's end.
The public Same Day Quote form on vitalpax.com, headed 'We Are Your One-Stop, Total Solution For Supplement Manufacturing.' under the Vitalpax.inc navigation bar. A Company Information section collects Email, First Name, Last Name, Phone, Company and a country dropdown set to United States. A Product Information section below holds a grey product card with Product Description, Quantity and Type fields plus an ingredients textarea, and a blue 'Add Another' button beside a red remove control so a customer can describe several products. An Additional Information heading begins beneath.

Days in Stage Reads Consistently

  • No More 'New' -- Quotes at their current stage for less than a day now read 1 Day rather than New, which was misleading on reverted or same-day-accepted quotes.
  • Uniform Tooltips -- Tooltips read as 'Days in [Stage]: N days' consistently across both the quote list and the individual quote view.
  • Completed Stages Coloured -- The workflow tracker now applies the same age-based colour coding to completed stages as to the current one.
The Sales Quote Request - R&D page for QR-260810-001 Version 1, Acctivate Ref # 12321, whose quote status reads R&D beside a red REVERTED pill. In the workflow tracker the completed Sales stage is green and carries its own age badge of '1d', underlined in red, while the active R&D stage in navy shows '5d' - both stages colour-coded by age rather than only the current one. Sourcing, Pricing and the stages beyond remain grey. Below, a Capsules Formulation panel for product 'test' formulated by josiah rnd shows servings per container of 40 and a 0.25 g serving size, above an Ingredients table listing OnoSweet (MoonBrew Pricing), R9398, with a 250 mg label claim and 125 mg per capsule.

Acctivate Ref # No Longer Blocks Saving

  • Optional At Intake -- The Acctivate Quote Reference # is no longer a mandatory field in the Sales Input Wizard, and a quote request can be saved without it.
  • Complete It Later -- The field remains available throughout and can be completed at any later point from the Edit Quote Request dialog.
  • Adjusts Last Week's Rule -- This relaxes the required-at-intake rule introduced in the Aug 5-11 update, keeping the reference a first-class, searchable field without holding up intake.
The 'Sales Quoting: Initial Data Intake' wizard on step 1 of 3, Formula & Product Identity, ahead of Composition Intent and Choose Components & Service Type. Under Product Information, Product Name and Dosage Format still carry red required asterisks, while the Acctivate Quote Reference # field, underlined in red, now shows no asterisk - optional at intake. Product Type is set to Supplement with a Child Supplement checkbox, above the Certification Services list (GMP Certified, Vegan, Kosher, Non-GMO Project Certified, BeVeg Certified, Halal, Organic, Gluten Free, Clean Label Project Certified, Other) and the Ingredient Claims list.
The Edit Quote Request dialog opened over the Sales Quote Request - Sourcing page for QR-260707-001 Version 1. The dialog offers a Supplement / Food product type toggle, a required Select Client Contact set to Arlandon Regero, a Sales Representative of Darin McOwen, and an empty Acctivate Quote Reference # field with placeholder 'e.g. 12345', underlined in red, above Cancel and Save buttons - showing the reference can be filled in from any stage. Behind it, the quote's Ingredient Pricing table lists Black Ginger Extract 5% polymethoxyflavones at $159.99 per kg.

Vendors offering the same ingredient at several minimum order quantities now price correctly, and purchase order history loads faster.

Multiple MOQs Price Correctly

  • One Row Per MOQ -- Where a vendor supplies the same ingredient at more than one minimum order quantity, each MOQ now appears as its own row in the vendor picker.
  • Selection Sticks -- Reopening a saved selection returns to the exact MOQ chosen rather than reverting to the smallest.
  • Counts Match -- Vendor counts on product listings now match the options actually shown.
  • Faster History -- Purchase order history loads substantially faster across the R&D, Sourcing, and Pricing dialogs.
The Row Details Item # 1 dialog for ingredient R9398, OnoSweet (MoonBrew Pricing), with Details and Ingredient Request tabs. A Pricing Type of System Price is selected with a Selected Price of $215.00, beside potency adjustment and stability overage fields at 100. In the Vendor Details table, tagged '4 connected', the MOQ column is outlined in red: Compound Solutions, Inc. appears on four separate rows at MOQs of 10, 100, 500 and 1000 kg, priced $215.00, $195.00, $185.00 and $175.00 per kg respectively, each with an RFQ status chip and a 7 Days lead time, the 1000 kg row tagged Best. The radio button on the MOQ 10 row is selected, and Delete, Cancel and Save buttons close the dialog.

Uploaded files move to dedicated cloud storage that operates independently of the system, with scheduled backups of both the database and every stored file.

Attachments Move to Independent Cloud Storage

  • What Happened -- A number of attachments on live quote requests were lost during a routine system update; the files had been retained within the system itself and were removed when the update was applied.
  • Independent Storage -- All uploaded files have been transferred to a dedicated cloud storage service that operates independently of the system, so a loss of this nature cannot recur.
  • Scheduled Backups -- A regular backup of both the database and all stored files is now kept in a separate location, ensuring any future loss can be reversed rather than proving permanent.
  • Recovery Under Way -- A portion of the affected attachments has been restored from copies held within the team, and recovery of the remaining files continues.
