Quotation Tool CRM
Development Updates

The capsule becomes part of the formula and the quote: it sits in the Ingredients table, prints on the Supplement Facts panel and the issued quote's packaging, and is required before a capsule product leaves R&D. Quotes and samples can be flagged High Priority, marked as sent when they went out another way, and opened straight in the Pipeline Board. Benchtop gains its own Pricing stage, vendor and price on the bench formula, a stickpack test plan, day-in-stage chips, and a place in the Sales and Pricing navigation. A new Quote Analytics dashboard and a Stage History tab on every quote track turnaround, rework and blockers; Sourcing and Pricing gain guardrails against loose ends; versioning no longer blocks on an active benchtop sample; and the capsule row now matches across R&D, Sourcing and Pricing.

New Features &
Enhancements

The capsule joins the formula, priority and sent status become visible at a glance, and the quote links out to the label and the pipeline.

Major Enhancement

Capsule as an Ingredient Row

  • Prompt Until Picked -- A Capsule not set prompt with an Add capsule button sits above the Ingredients table until a capsule is chosen.
  • Last Excipient -- Once picked, the capsule is the last excipient row, with a capsule icon instead of an item number and editable name, mg and specifications.
  • On The Label, Not The Totals -- It prints under Other Ingredients on the Supplement Facts panel but counts toward no blend weight, formulation total or per-capsule weight.
  • Required To Leave R&D -- Sourcing and Pricing show the same row, and a capsule product can no longer leave R&D without one.
The Capsules Formulation card for product Sunshine recreation (product number 26092901, formulated by Arlandon RandD, 2 capsules per serving, 60 per container). Above the 8-line Ingredients table is a grey banner with a capsule icon reading 'Capsule not set' with a red REQUIRED tag and 'Choose the capsule type and size for this product.', and a navy '+ Add capsule' button on the right. The navy-headed table below lists eight active ingredients from Beta Carotene 20% Beadlets to L. acidophilus 200B CFU/g, with vendor and price columns.
Feature Update

Supplement Facts Panel from Any Tab

  • New Side Handle -- An SFP handle sits above the Activity handle on the right edge of the quote.
  • No R&D Tab Needed -- Sales, Pricing and Purchasing can read the label without opening the R&D tab. It opens the same panel.
  • When It Appears -- The handle shows once the quote has reached R&D.
  • View For All, Edit For R&D -- Anyone can view it; dragging rows to re-sort stays with R&D while their tab is editable.

Feature Update

High Priority Mark for Quote Requests

  • One Click To Flag -- Quote requests and benchtop samples can be marked High Priority from the row menu on either list, or from the quote itself.
  • Red High Badge -- A marked row carries a red High badge and sorts to the top of the list.
  • Oldest Priority First -- Flagged rows are ordered by when they were marked, so the longest-standing priority sits highest.
  • Clean Renumbering -- Clearing a mark closes the gap and renumbers the rest.
The All Quote Requests list. The top row, QR-260929-001 for Sunshine recreation, has a red left border and a red 'High' badge beside its request number. A row menu is open on another row showing View, Duplicate Quote, 'Mark as High Priority' with a flag icon, and Archive.
A row of three outlined buttons on a quote: 'View in Pipeline Board', 'Mark High Priority' with a flag icon, and 'Manage Versions'.
Feature Update

Issued Quote: Mark as Sent

  • Sent Another Way -- Users can mark a quote as sent when it went out by email, in person or any other route.
  • Confirm And Note -- Marking asks for confirmation and takes an optional note on how it went.
  • Status In The Header -- A green Quote Sent pill with the date sits in the quotation panel header and reopens the note read-only.
  • Kept On Record -- The note and date are saved on the quote and in its activity log.

Feature Update

Issued Quote: Capsule Packaging Row

  • Capsule Listed -- Packaging Information now carries a Capsule row, printed above Bottle on screen and in the PDF whenever one is set.
  • Customer-Supplied Reads Included -- Customer-supplied components now read Included, the same as manually priced ones.
  • No More Blank Section -- A quote built from customer-supplied components no longer prints an empty packaging section.

The first row reads 'Capsule: Included', followed by Bottle: 200cc Amber Glass 45-400 Neck Finish (12 Packs), Lid: 45-400 Cap Metal Gold CT 'Sunshine', Neckband: 100mm x 122mm 2 Mil Cutband w/Perf., Casebox and Retail Box as '--', Label: Included, and Other: Included on a pale green background.
Feature Update

Edit Quote Request: Product Name and Company

  • Rename Any Time -- The product name is now editable at any stage from Edit Quote Request.
  • Company For Context -- The selected contact's company is shown read-only beside it, so it is clear which account the quote belongs to.
The Edit Quote Request dialog with Product Type toggled to Supplement, an editable Product Name field reading 'test', a Select Client Contact dropdown, a greyed read-only Company field reading 'test company', a Sales Representative dropdown, an Acctivate Quote Reference # of 5243134, and Cancel and Save buttons.
Feature Update

View in Pipeline Board from the Quote

  • Link Both Ways -- The Pipeline Board already linked to a quote; now the quote links back.
  • Opens The Card -- View in Pipeline Board, beside Manage Versions, opens the board with that quote's card already open.
  • Only When It Applies -- The button appears only when the quote has a card and the user can open the board.
Three outlined buttons at the top of a quote: 'View in Pipeline Board' with a board icon, 'Mark High Priority' with a flag icon, and 'Manage Versions' with a hierarchy icon.
Feature Update

Client Accepted Lists Only Quotes Waiting for a Sample

  • Focused By Default -- Client Accepted now shows only the quotes still waiting on a benchtop sample.
  • Show All Toggle -- The card, the chip and the table all follow a Show all toggle for the rest.
  • Badge Stays Honest -- The side-nav badge keeps counting only the quotes that are waiting.
The All Quote Requests page on the Client Accepted tab, which is highlighted in black with a count of 0. The Client Accepted summary card also reads 0. A 'Show all (7 in Benchtop)' toggle sits beside the filters, and the empty table reads 'No quote requests in this stage'.

Benchtop Updates

A Pricing stage for the sample itself, vendor and price on the bench formula, a stickpack test plan, day chips on every step, and a place in the Sales and Pricing navigation.

Major Enhancement

Benchtop Pricing Stage

  • Price The Sample -- A benchtop sample can now be priced on its own in Stage 6.
  • Same Pricing Panel -- It is the quote's Pricing panel run against the benchtop version's formula, vendors and lab settings.
  • Pre-filled And Carried -- It starts from the quote's pricing the first time it opens and carries onto every new version.
  • Quote Untouched -- The quote itself is never changed, and editing is open only while the sample is on Pricing.

The Ingredient Pricing table lists R10450 Natural Color Red Cabbage 2 Powder from IFC Solutions at $129.54 per kg. Below, Bottling and Final Quote shows Component Pricing (Bottle B1184, Lid L1206, Neckband N020, Body Sleeve with a green Manual Price tag, Retail Package, Label, Case Box) beside a Pricing Summary with four gross margin options from 30% to 40% and prices per unit from $7.14 to $8.33.
Feature Update

Vendor, Price and Totals on the Benchtop Formula

  • More Columns -- The benchtop formula table now shows Vendor and Price columns.
  • Full Footer -- The Allergens, Sales Notes and totals footer now appear under the table.
  • Bench-Only Edits -- Vendor and price are edited from the row dialog and written to the benchtop revision only; the R&D formula is never touched.
The right side of the benchtop formula table with VENDOR and PRICE columns: one Curcumin C3 Complex row from Sabinsa Corporation at $125.00, active Y, 0% potency adjustment and 100% stability overage. A footer below shows a Total row (6.0000 mg, 100.000%, 0.2400 kg) and a Total Servings row of 12.000 mg.
Feature Update

Stickpacks: Required Test Plan

  • Its Own Plan -- Stickpack samples now run a Sample in Process test plan of their own.
  • Same Tests As Powder -- It covers Flowdex Testing and Bulk Density, the same two tests powder uses.
  • Format Badge -- A badge at the top names the format under test.
The Required Test Plan page with a STICKPACK badge at the top right and a '0 / 2 Required Tests Completed' bar marked NOT STARTED. Below are three numbered panels: 1 Composition Preparation with an Edit button and a notes box, 2 Flowdex Testing with a ring-size field and an auto-calculated 'Powder falls through 30mm?' field, and 3 Bulk Density with sample weight, volume and an auto-calculated bulk density field, each with a Result dropdown.
Feature Update

Benchtop Days in Stage

  • Chips On Every Step -- The benchtop stepper now carries day chips like the quote workflow bar.
  • Past, Present, Future -- The current step shows time in stage, completed steps show how long they took, and upcoming steps show a dash.
  • Louder Over Time -- The tint and tooltip get louder as a sample sits, so waiting work is harder to miss.
  • Honest Timers -- Timers under a minute now read <1m everywhere instead of rounding up.
The Benchtop stage bar. New Sample Request is complete in green with an '11min' chip, Sample in Process is the current navy step with a red-tinted '39d' chip, and the remaining steps (Sample Handoff R&D, Sample Handoff Sales, For Customer Approval, Pricing, Purchase Order) are grey with a dash chip.
Feature Update

Benchtop in the Sales and Pricing Navigation

  • Where People Work -- Benchtop now appears in the Sales and Pricing sections of the side navigation.
  • Own Stages Counted -- Each badge counts only the stages that department owns.
  • Right Tab On Open -- Each link opens on the stage tab that belongs to that department.
The SALES section of the dark side navigation: Quote Requests with a blue badge of 6, Leads, Pipelines with a badge of 12, and a new Benchtop link with a test-tube icon and a blue badge of 1.

Analytics &
Stage History

A new Quote Analytics dashboard tracks turnaround, rework and blockers across every stage, and every quote now keeps a full Stage History of its forward and backward moves.

Major Enhancement

Quote Analytics Dashboard

  • Filterable By Period -- Today, This Week, This Month, custom ranges, grouped daily, weekly or monthly, measured in business hours or calendar time.
  • Headline KPIs -- Quotes created, in progress and issued, average time to issue and to acceptance, and acceptance rate, all in one row.
  • Completed Within Target -- Share of quotes issued to the client and accepted by the client within 24, 48 and 72 hours, cumulative.
  • Admin Only, For Now -- The page and its nav link are gated behind an admin-only page permission.
The Quote Analytics page header with period filters (Today, Yesterday, This Week, This Month selected, Last Month, Last 6 Months, This Year, Last Year, Custom), a date range of Sep 1 - Sep 30 2026, Group By Daily/Weekly/Monthly, and a Measure In toggle set to Business hours. Below, six KPI cards: Quotes Created 6 (up 500% vs 1 before), In Progress 4, Issued 2, Avg Time to Issue 3d 13h, Avg Time to Accepted 3d, and Acceptance Rate 100%.
Feature Update

Turnaround by Stage and Product Type

  • Every Stage Timed -- Average, median and 90th-percentile time in Sales, R&D, Ingredient Request, Sourcing, Pricing, Issued and Client Accepted.
  • Open Work Called Out -- A stage still in progress is counted under Open Now instead of folded into the average, so nothing looks faster than it really is.
  • By Product Type -- Capsules, Liquid, Powder, Tablets and Stickpacks each get their own issued and accepted turnaround, median and 90th percentile.
The Average Turnaround by Stage table, '6 quotes in flight'. Seven rows with a colored dot, a progress bar and Average/Median/90th Pct/Sample/Open Now columns: Sales (<1m, sample 5, open 1), R&D (11h 59m average, 1d 12h 90th pct, sample 6, open 2), Ingredient Request (all dashes, open 1), Sourcing (4h 31m average, sample 6), Pricing (<1m average, sample 6, open 2), Issued (16h 12m average, 3d 9h 90th pct, sample 5), Client Accepted (1d 7h average, 2d 15h 90th pct, sample 2, open 1).
Feature Update

Rework, Revisions and Blockers

  • Send-Backs Per Stage -- How many times work was sent back to R&D, Sourcing, Pricing, Issued or Client Accepted, and how many had to be redone.
  • Why Work Was Sent Back -- Missing or bad info versus internal rework, with the share of send-backs that actually recorded a reason.
  • Blockers Raised -- Issues and ingredient requests opened in the period, grouped by the department that raised them, with how many are still open past 48 hours.
Two side-by-side cards. Left, 'Rework & Revisions': Send-Backs 8 across 4 quotes, Quotes Sent Back 66.7%, Revision Rate 50%, Versions per Quote 3.5 average, Quotes with Rework 4 of 6; below, a Sent Work Back / Had to Redo Work table per stage (R&D, Sourcing, Pricing, Issued, Client Accepted) and a 'Why Work Was Sent Back' bar chart, Missing or bad info 4 and Internal rework 2. Right, 'Blockers Raised': Issues Raised 0, Open Past 48H 0, Median to Resolve dash, Ingredient Requests 9 with 4 open.
Major Enhancement

Stage History on Every Quote

  • Full Timeline, Not Just Now -- Every stage the quote has visited, in order, including repeats after a send-back, each with who moved it and how long it took.
  • Reason Is Recorded -- A send-back carries a red Sent Back tag and shows the picked reason's title plus the note that went with it.
  • SLA Countdown -- The current open stage shows time already spent in it and how much of its target is left.
  • Its Own Tab -- Stage History sits beside Activity in the same side panel, so nobody has to reconstruct a quote's path from the activity feed.
The Activity Log panel on the Stage History tab. A vertical timeline: Sales, R&D, Sourcing, Pricing, then R&D again with a red 'SENT BACK' tag and a pink reason box reading 'Missing packaging details / test', then Sourcing, Pricing, Issued, R&D again (SENT BACK, same reason), Sourcing, and a current R&D entry (SENT BACK) reading '1h 4m in stage', '16h left of the 16h target', with a reason box 'Missing product specs or target profile / gtet'. Client Accepted sits greyed at the bottom as Not started.

Sourcing & Pricing
Guardrails

Two new checks close gaps that let an unfinished quote slip through to the next stage.

Major Enhancement

Nothing Moves Forward With Loose Ends

  • Open Ingredient Requests -- Send To Sourcing now blocks while any request tied to the quote is still Pending or Processing, naming each one in a dialog with a one-click Withdraw.
  • Missing R# -- The same move blocks when a raw material has no R# assigned yet, with its own dialog and a jump straight to the row.
  • Every Material Priced For Pricing -- Send To Pricing checks every raw material for a vendor and a price greater than $0 before the quote can move; Customer Supplied is the only exception.
  • Row Highlighted, Not Just Listed -- The blocking row lights up in the table itself the moment a guard fires, not just inside the dialog.
An 'Ingredient Requests Need Attention' dialog over a quote's R&D tab: 'This quote can't move to Sourcing while these are still open. Complete each one from the R&D tab, or withdraw it right here if it's no longer needed.' Below, one open request named 'test', R73129, Pending, with a red Withdraw button, and a Close button. Behind the dialog, the Ingredients table's first row carries an amber 'IR pending · 7d' badge.

Send Back
Expanded

Issued and Client Accepted quotes can now go back to any earlier stage -- unless a benchtop sample already exists, in which case the only way forward is a new version.

Feature Update

Issued and Client Accepted Can Send Back Anywhere

  • Only Pricing, Before -- Issued quotes could only be sent back to Pricing; now Pricing, Sourcing, R&D and Sales (Initial) are all options.
  • Client Accepted Gets It Too -- Client Accepted had no Send Back at all before this -- it now offers the same four stages.
  • Same Reason Picker -- Both stages use the same 'Why is it going back?' picker and free-text reason already required elsewhere.
The Revert Quote Request dialog's 'Send Back To' dropdown, open, listing four options: Pricing (highlighted), Sourcing, R&D, and Sales (Initial).
Feature Update

Except When a Benchtop Sample Already Exists

  • The Problem -- A benchtop sample is tied permanently to the exact quote row it was requested on -- sending that row back would leave the sample pointing at a superseded formula.
  • Create Version Instead -- A Client Accepted quote with an active sample shows Create Version in place of Send Back, with a tooltip explaining why.
  • Enforced On The Server Too -- The same rule is checked server-side, so it holds even if the button were somehow bypassed.
A Client Accepted quote's header: a 'Viewing Version 6 of 7 - NOT ACTIVE' banner, Mark High Priority, Manage Versions and Go to Benchtop buttons above, and the six-step stage bar (Sales, R&D, Sourcing, Pricing, Issued, Client Accepted -- the last one active in navy) with a 'Create Version' button sitting where Send Back would otherwise be.
Section

Versioning
Update

A quote no longer has to choose between keeping its benchtop sample and getting a new version.

Feature Update

New Versions Allowed With an Active Benchtop Sample

  • No Longer Blocked -- A quote could not get a new version while its current one had an active benchtop sample; now it can.
  • Sample Stays Put -- The existing sample keeps working exactly as before, permanently tied to the version it was requested on.
  • Stale Samples Refreshed -- The Benchtop Samples list drops a version's sample from the work queue the moment a newer version becomes active.
The Quote Versions dialog, 'All Versions (7)'. The top row, v7, is tagged Active, created Sep 26 2026 2:03 AM, note 'Internal rework'. Below it, the currently-viewed v6 row is tagged 'Currently Viewing' and 'Benchtop sample', created Sep 26 2026 1:23 AM, notes 'Other - ged · Other - teaassaas' -- proving a newer version (v7) was created even though v6 still carries an active benchtop sample. A third row, v5, is partly visible below.

Formulation Table &
Quote Page Refinements

The capsule shell reads the same way wherever pricing happens, and the quote page surfaces what used to be hidden.

UI/UX Update

Capsule Row Matches Across R&D, Sourcing and Pricing

  • Consistent Everywhere -- Sourcing and Pricing's ingredient tables now number and mark the capsule row the same way R&D's does, instead of an older, inconsistent treatment.
  • Not Applicable, Not Zero -- Blend percent, kg, $/kg, cost/bottle and total $/RM show a dash on the capsule row instead of a misleading 0.00.
  • Four Decimal Precision -- A price under $1, like a $0.0074 capsule shell, no longer rounds up to the nearest cent and reads as ten times its real cost.
  • No More Yellow Glare -- The pricing-critical columns lost their yellow highlight; the bold weight that marks them stays.
The Ingredient Pricing table's Active and Inactive Ingredients rows. Row 1, Phylloquinone (Vitamin K) from Green Wave Ingredients, 93.750%, 22.5000 kg, $30.00. Row 2, the capsule shell 'Vegetable Capsule' from Lonza Inc, sky-blue tinted, with dashes under %'s, Kgs and $/Kg and a Price of $0.0074. Row 3, Beef Testicle(Orchic)Powder from In-N-Out Burger, 3.125%, 0.7500 kg, $393.75. No column carries a yellow tint.
UI/UX Update

Revert Reason Shows Its Title

  • The Title Was Missing -- General Information showed only the free-text note on a reverted quote; the reason picker's own title never made it to the screen.
  • Resolved And Boxed -- The reason code now resolves to its label (like 'Missing product specs or target profile') and sits in a bordered callout box above the note.
  • Shown In Full -- The box no longer clamps to one ellipsised line -- the cell grows to fit the whole reason instead of hiding it behind a hover.
The top-left corner of the General Information card. The Quote # field reads 'QR-260929-001' with a blue V1 tag and a red REVERTED tag beside it, and directly below sits a pink bordered box with the bold red title 'Missing product specs or target profile:' followed by the note 'gtet' in italics.

2 Table & UX Refinements

The capsule is now a real row in the formula: required before a capsule product leaves R&D, printed on the Supplement Facts panel and on the issued quote's packaging, and kept out of every weight total -- and it now reads the same way in Sourcing and Pricing too, dashes and all, with prices precise to four decimals. Quotes and samples can be flagged High Priority, marked as sent with a note, renamed at any time, and opened straight in the Pipeline Board. Benchtop gains its own Pricing stage, vendor and price on the bench formula, a stickpack test plan, day-in-stage chips, and links in the Sales and Pricing navigation. A new Quote Analytics dashboard and a Stage History tab track turnaround, rework and blockers across every stage; Sourcing and Pricing gained guardrails against open ingredient requests, missing R#s and unpriced materials; Issued and Client Accepted can now send back to any earlier stage, or create a new version when a benchtop sample already exists; and versioning no longer blocks on an active benchtop sample.
